Timer for your business

Private clinic software: CRM, follow-up, automation and AI.

Timer runs a private clinic on one system: CRM, intake and consent forms, follow-up automation, invoices and AI, for physio, aesthetics and therapy.

01 What it does

What software should a private clinic run its business on?

Timer is an automation system with a built-in CRM that runs a private clinic on one patient record: intake and consent signed before the visit, follow-ups that happen without anyone remembering, invoices and payments, and Pallas, Timer's AI, across physiotherapy, aesthetics and therapy.

PATIENTSEvery patient on one recordIntake answers, signed consent, before and after photos, sessions and payments, open to reception and practitioners alike.
PLANSPlans of care that get finishedEach course of treatment is a deal with its sessions and its value, in sight until the last session is booked.
FORMSForms and e-signaturesThe health questionnaire, consent for injectables or the therapy agreement, signed before the patient arrives.
MONEYPacks, invoices and paymentsSell a pack of sessions, invoice the patient or the insurer, and follow up open balances without chasing.
ANSWERSPallas, with sourcesAsk who paid for sessions and has nothing booked, and the answer comes from your records, with its source.

A clinic rarely loses patients in the treatment room. It loses them between appointments, and that is the part Timer runs.

02 A day at the clinic

What does a Thursday at a private clinic look like on Timer?

On Timer, reception, the physiotherapists, the aesthetic practitioner and the therapist work from one patient record, and Timer tracks what has to happen between visits.

08:00The morning listReception opens Timer to the open work: four patients with no next session, two consent forms unsigned, one pack paid for and never started.
09:15A new back pain patientHis intake form came back signed last night, so the physiotherapist knew his history before the assessment. Six sessions agreed, two already booked.
11:30The aesthetics roomConsent for a dermal filler was signed online yesterday. The before photos go on the patient's record and the two-week check is booked.
13:00A WhatsApp over lunchA patient asks for something this week for her shoulder. Pallas drafts the reply with two free times, and it goes when reception approves.
16:40A late cancellationTomorrow's 09:00 is canceled. Pallas finds the patients who asked for an earlier time and drafts the offer.
19:30Closing upThe evening therapy session is marked done and invoiced. A patient who missed two physiotherapy sessions is on tomorrow's list, message drafted.

Nothing that day relied on a sticky note at reception, and nothing reached a patient without a person's yes.

03 Plans of care

How do I stop patients dropping out before their treatment plan is finished?

Timer keeps each plan of care on the patient's record, sessions agreed against sessions booked, and when nothing is booked next, Pallas drafts a message from the patient's own plan for a person to approve.

01AgreedThe physiotherapist records six sessions over four weeks, and the goal in the patient's words: running again, sleeping through the night.
02Booked aheadThe next sessions are booked before the patient leaves, each with a reminder.
03MissedA no-show, or a session that ends with nothing booked, puts the patient on reception's list the same day, with a message about their goal, not a generic reminder.
04FinishedThe last session closes the plan, and the patient is asked how it went.

Prepaid packs leak the same way. Ask Pallas who paid for a pack and has nothing booked, and the list shows each patient with the sessions they have already paid for.

04 CRM or practice software

Do I need a CRM for my clinic, or is practice management software enough?

Practice management software keeps the diary and the clinical notes; a CRM keeps patients coming back. Timer is a CRM with the clinic's day built in: bookings, forms, consent, invoices and follow-up on one patient record instead of five tools.

In Timer that is Contacts and Deals, the built-in CRM, with Flows, Forms, Signatures, Bookings, Reviews, Invoices and Payments on one memory, and Pallas across all of it. Clinical notes kept in another system can stay there: nothing is switched off to start.

05 Automation

Can I automate patient follow-up without hiring more reception staff?

Yes. In Timer each follow-up is a Flow, so forms, reminders, rebooking, late inquiries, reactivation and review requests stop depending on someone at the desk remembering, and the clinic decides which wait for a person's yes.

FORMSForms before the visitIntake and consent go out ahead of the appointment, and an unsigned form is followed up the day before.
REMINDFewer no-showsA reminder goes before every session, and a reply asking to move it lands with reception.
REBOOKNobody leaves without a next dateWhen a session ends with nothing booked, the patient is on the list with a message drafted the same day.
EVENINGSThe inquiry at 22:00A WhatsApp or website message sent at night lands on a contact with a reply drafted, ready for reception in the morning.
REACTIVATEPatients who drifted awayPatients not seen for the period you choose get a personal note written from their own history.
REVIEWA review request after every planAfter the last session, every patient is asked how it went and invited to leave a review.

Reception stops being the clinic's memory and goes back to the people in the waiting room.

06 AI and patient data

Is it safe to use AI with patient data in a private clinic?

With Timer, yes: Pallas, Timer's AI, answers from your clinic's own records and shows the source, and patient data stays in the EU, isolated to your clinic's organization and never used to train AI models.

ASKWhich aesthetics patients are due a top-up this month?Answered from treatment dates and bookings, each patient linked.
ASKWho has missed two physiotherapy sessions in a row? Each patient with their last session and a message drafted.
ASKWhat did we agree about this patient's payment plan? The signed agreement, the invoices and the message it went out with, side by side.

Pallas proposes and a person approves: nothing reaches a patient until someone at the clinic says yes, and every consequential action is recorded by Timer Seal. The clinic's memory exports in full. Read how Timer handles data.

07 When people leave

What happens to my patients when a therapist leaves the clinic?

On Timer, the patients stay with the clinic: every history, open plan of care, unused session and promise made is on the clinic's memory, and whoever takes over the caseload inherits all of it on the day.

Ask Pallas what the departing physiotherapist promised and to whom, and the handover is a list, not a guessing game.

Physiotherapy, aesthetics and therapy under one roof share one memory, and Permissions decide who sees what: reception sees a therapy client's appointments and invoices, and the therapist's notes stay with the therapist.

08 Cost

How much does Timer cost for a private clinic?

A private clinic runs on Timer Business Essential, from €200 a month, billed monthly with no contract.

Business Essential€200/moStarting price, for the whole clinic: physiotherapists, aesthetic practitioners, therapists and reception on one memory.

Set it against the sessions on your list that were paid for and never booked. Get started and a person sets up the clinic's account with you.

09 Start

How does a private clinic start on Timer?

A private clinic starts on Timer by connecting the email, calendar and WhatsApp it already uses, and Timer reads them from day one, with nothing to migrate and nothing to tag.

01ConnectGmail, Outlook or any IMAP mail, Google or Apple Calendar, Google Drive and WhatsApp. Nothing is switched off.
02Bring the patient listImport it from a spreadsheet. Timer previews the column mapping before a single row is written.
03Turn on one FlowStart with patients who left without a next appointment, because that is where sessions slip away.
04Decide what runs aloneEverything waits for a person's yes until the clinic decides a step may run on its own.

Begin with the patients who walked out without a next date. They already wanted to get better.

Get every patient to their last session

Connect the email, calendar and WhatsApp the clinic already uses and bring in the patient list. Timer finds everyone who left without a next appointment, Pallas drafts the message, and reception approves it.
